A Fulfillment Handoff Checklist for Ecommerce Brands
Before moving inventory or sending orders to a fulfillment partner, agree on product data, packaging instructions and how exceptions will be handled.

Define the scope before stock moves
A fulfillment handoff connects your products, order data and packing instructions. Clarify whether the scope includes receiving, storage, picking, packing, shipping, returns or only selected steps. Do not assume that an activity is included simply because a provider offers it elsewhere.
Make every SKU identifiable
Prepare a SKU list with product names, variants, barcode information where applicable, and expected inbound quantities. Include photographs when similar variants are easy to confuse. Agree on how unidentified, damaged or short-delivered stock should be recorded and escalated.
Write packing instructions that someone can follow
Document the mailer or box, protective materials, inserts, bundles and any conditions that change the packing method. For multiple variants, provide an example for each meaningful difference. Approve a trial pack before applying a new instruction broadly.
Agree on order and tracking data
Confirm the supported connection or import method rather than assuming a store platform is connected. Map the fields needed to identify the order, recipient, items and shipping service. Clarify how cancellations, address changes and tracking updates are handled, especially once picking has started.
Test normal orders and exceptions
- A normal single-item order.
- An order containing more than one variant.
- A bundle or branded packing instruction.
- An unavailable or damaged item.
- An address change or cancellation request.
